Your workplace uses BurnoutZero. Here is what that means for you.

BurnoutZero is a private app for understanding your own energy. Your employer pays for your place, and you decide what your team's figures include.

What you get

Your employer's plan includes everything in Pro. You do not pay anything.

What your manager sees. And what they never will.

Here is exactly what your employer can and cannot see. The same rules apply to your manager and to HR.

Your manager or HR sees

  • The team's average and median score
  • How many people are in each band: green, yellow, red
  • The top factors pushing the team up or down
  • Participation, trends and the forecast
  • How many people take part, never who

They never see

  • Anyone's individual score
  • Anyone's check-ins
  • Anything anyone wrote
  • Health data from Apple Health or Health Connect
  • Who chose not to take part

The one exception is yours to make: if you choose to send a support request, it carries your name. Only you can start it.

The team list shows name, email, role and when they joined. No scores, and no consent status.

Nothing at all until at least 5 people have shared data in the period

10 under the works-council setting. The software will not accept a lower number. Below the minimum, a manager sees --, not an estimate and not a rounded figure.

If a single day is too thin, the window widens to a week, then a month. The minimum applies to whatever window is shown. Each is a completed period, not a rolling one.

Scores are also protected against being worked out by comparing the team before and after someone joins or leaves.

You can see and change what you share. Changing it is quiet.

Your employer may set a default sharing level, and it can already be in effect when you first sign in. You are shown exactly what is shared from your account, and you can change it at any time, down to sharing nothing. Changes never enter the HR audit log, your sharing history is visible only to you, and managers never see anyone's individual score.

EU by design, not by policy

Your team's wellbeing data is among the most sensitive data an employer can hold. Here is where it physically lives.

  • App, database and both backups: Helsinki, Finland. Hosted with Hetzner.
  • AI: Mistral, in France. There is no OpenAI key in production. Insights ran on a US model until 30 August 2026. That path has been removed.
  • Email: our own mail server. Not a third-party email provider.
  • Analytics: Umami for our public pages, self-hosted and cookieless; in-app usage is measured in our own database only. The data never leaves our servers.

What does leave the EU, and why

We would rather name it than have you find it.

  • Push delivery: Expo, Apple, Google. Generic text only: no name, no score, nothing about how you are doing.
  • Signing in with Google or Microsoft, or with Apple in the mobile app. Each one learns that you signed in with it.
  • Stripe, for payments.
  • HubSpot, for support chat, demo requests and customer records. Stored in HubSpot's EU data centre, though HubSpot is a US company. Never wellness, check-in or calendar data.
  • Microsoft Clarity, on our public marketing pages only, and only for visitors who accepted analytics cookies. Never for signed-in users.
  • Your calendar, if you connect one. We read it from Google or Microsoft, where it already lives, and with your approval for each change we add focus blocks back.

If your company uses its own single sign-on, none of that applies to signing in. It stays between the employee and the employer, with no third party involved.

Your data stays yours

  • Change what your team's figures include at any time, on the My Team page under Sharing & privacy.
  • Download a complete copy of your own data whenever you want.
  • Delete your account and your data yourself. The only exception is a legal hold, which the Trust Center explains.

How to join

  1. Open your invitation

    Your employer sends an invitation to your work email. Open the link and create your account, or sign in if you already have one.

  2. Or sign in with your company account

    If your company uses single sign-on, choose "Sign in with your company (SSO)" on the login page and enter your work email.

  3. See and choose what you share

    When you first sign in, you see exactly what is shared from your account, including anything your employer turned on by default. You can change it there, down to sharing nothing, and still use the app.

No invitation yet? Ask your manager or HR. We cannot add you to a company ourselves.

On your phone too

Once your account is set up, sign in to the iPhone or Android app with the same email and password.

The phone apps do not support company sign-in (SSO) yet. If your company uses it, use BurnoutZero in your phone's browser for now.

Questions employees ask

Can my manager see my check-ins?

No. Managers and HR see team figures only, and only when enough people have shared for no one to be singled out. Your own check-ins, score and notes stay with you.

Can I stop sharing later?

Yes, at any time. The change never appears in the HR audit log, and your sharing history is visible only to you.

Do I have to pay anything?

No. Your employer pays for your place, and it includes every Pro feature.

Is this a medical assessment?

No. BurnoutZero helps you notice changes in your own energy. It is not a diagnosis. If you are struggling, talk to occupational health or your doctor.
